No direct connection yet

Mindbody, Vagaro, Booksy, Fresha and GlossGenius publish no Zapier app, so nobody can connect them this way, us included. That is their decision, not a gap on our side, and no amount of building here changes it. What works today: your AI answers, takes the booking details, and sends them to you by email, chat and dashboard. Square is the exception worth knowing about. It connects on a free account and it can create the appointment, not just the client.

It does not write the booking into Calendly itself: booking there needs the caller’s email and a choice of event type, so it takes the appointment as a request for you to confirm, and the caller hears exactly that.

This is the preferred connection for Cloudbeds, and it needs no Zapier account. Paste a Cloudbeds property API key in your dashboard, verify the properties it can read, and choose one. The connected lane looks up reservations and guests by ID for front-desk work. It does not create or change reservations or process payments.

Worth knowing: Cloudbeds must issue a key with guest and reservation read access. The key is stored sealed after you choose the property it serves.

Housecall Pro is backend-only right now. There is no customer setup card because the supported path still needs a MAX-plan account, an Admin API key, and a real signed webhook round trip before we can safely expose it.

Worth knowing: Do not create a Housecall Pro connection from this page yet. Until the self-serve path is proven, your AI still answers every caller, takes the job details, and sends them to you by email, chat and dashboard.

Worth knowing: ISN charges nothing extra for API access, and you make the access key yourself under Settings, My Access Keys. An ISN access key never expires and carries the full rights of the user who made it, so use the least privileged account that still works. When you disconnect, delete the key in ISN as well: nobody but you can revoke one.

Recommended today: install the private First AI Employee app in your own Zapier account, choose New Lead, and use Jobber Create Client. This creates a client only. Requests, jobs, visits, quotes and invoices need separately reviewed fields and actions. The direct OAuth card remains closed.

Worth knowing: Your Jobber plan and user must permit Zapier and client creation. Send a synthetic lead and confirm the client in Jobber before turning the Zap on.

Worth knowing: Two paywalls, and both catch people out: Salesforce is a Zapier premium app, so it needs a paid Zapier plan, and your Salesforce edition has to include API access. Enterprise and above include it. Professional charges extra for it. Check yours first.

ServiceM8, AccuLynx and GorillaDesk

Where we cannot help yet

No direct connection yet

We can reach all three, and we still will not offer you a button, because each one needs something a phone call does not give us. ServiceM8 will not create a job without a street address. AccuLynx will not create a contact without a contact type that only exists inside your own account. GorillaDesk needs a full service address, a phone type from your account, and it writes permanently with no way to catch a duplicate. Half a lead filed in the wrong place is worse than a lead in your inbox, so these wait until we can fill every field properly.

ServiceTitan

Your ServiceTitan admin completes ServiceTitan’s Zapier registration, builds the downstream action in your own Zapier account, and pastes that Zap’s Catch Hook into the dashboard. We deliver completed-call data to the hook in one direction. What Zapier writes into ServiceTitan is the workflow you configure, not a native or two-way First AI Employee sync.

Worth knowing: Needs the Works or Legacy package, plus a form ServiceTitan reviews before they issue credentials. Their Zapier app is in open beta and ServiceTitan does not formally support it.

During managed setup, we read destination names and IDs so you can choose the right spreadsheet, database, project, list or board. Before each managed write, we check only for our event marker in the selected sheet, a matching Notion page title and marker block, or task and card names so a retry does not create a duplicate. We do not import or synchronize the rest of your account. Google Calendar, Outlook and Calendly also read availability because booking a real time depends on it.

Workiz publishes no read that accepts the secret, so we store the secret sealed without proving it and say so rather than imply a fully checked pair.

Before you start

Three things worth having open. None of them takes long to get.

Your dashboard login

Everything on this page starts from your dashboard. If you have not set a password yet, use the link in your welcome email.

Admin access to whatever you want to connect

Most tools only let an owner or an admin approve an outside connection. If somebody else administers your CRM, it saves an afternoon to have them on hand rather than to discover it halfway through.

A Zapier account only if your tool has no dashboard connection

Google Sheets, Notion, Asana, ClickUp and Trello connect from your dashboard. For other supported software, the fallback is a Catch Hook in your own Zapier account.

Add website chat

About 5 minutes

Your dashboard generates the exact script for your account. You choose where the chat appears, paste that script into your site, and publish. No visitor key or account ID is typed by hand.

Open Website chat in your dashboard

Choose which AI employee answers, whether the chat floats over the page or sits inside it, and which pages should show it.

Choose your website platform

Pick WordPress, Squarespace, Wix, Shopify, Webflow or Something else. The dashboard shows the right place to paste the same generated script.

Paste, publish and test

Paste the script once, publish the site, then open the live page in a private browser window and send a real message. The dashboard marks it live only after the widget has actually been reached.

Connect your calendar

About 2 minutes

Do this one first. Until a calendar is connected your AI can take an appointment request, but it cannot promise a time, because it has nothing to check. Once it is connected the AI reads your real free and busy times mid-call and books before the caller hangs up.

Open Integrations in your dashboard

Sign in, then go to Integrations in the left sidebar. Calendars are the first section.

Use the enabled Google connection

The current deployment shows Connect with Composio. Press it, choose your Google account and review the access request on the hosted approval screen. The direct Google button appears only on a deployment where its separate OAuth connection is configured.

Use Outlook or Calendly when that is where you work

Press Connect on the matching card and approve access on its own screen. Outlook needs a Microsoft 365 business account. Calendly supplies live availability, but the AI records the chosen time as a request for you to confirm rather than writing a Calendly booking.

Google and Outlook write appointments onto the connected calendar. Calendly is read for availability only. If any calendar cannot be read, the AI records the request instead of claiming a time was booked.

About 2 minutes each

Open Integrations in your dashboard. HighLevel, Follow Up Boss, RepairShopr, CompanyCam and Táve connect through Composio, our integration partner. Each live card says exactly what a completed call writes, and each connection sends one way into your account. Jobber appears in the directory too, with its current availability stated plainly.

HighLevel

Press Connect HighLevel, approve access on HighLevel’s screen, then choose the sub-account where completed calls should land. If one location cannot be identified safely, setup stops instead of guessing.

Follow Up Boss

Have your Follow Up Boss API key ready, press Connect Follow Up Boss, and enter the key only on the approval form that opens.

RepairShopr

Have your RepairShopr account subdomain and API key ready, then press Connect RepairShopr and complete the approval form.

CompanyCam or Táve

Have the API key for the tool you use, press its Connect button, and complete the approval form. You return to Integrations automatically after the connection is verified.

Jobber availability

The direct Jobber path is built but has not completed a dated live provider round trip or Jobber app approval. Its card says Not open yet and offers no Connect button, so it cannot be mistaken for an available connection.

These tools do not share the same outcome. Read the sentence on each dashboard card before connecting: some create a lead, some a customer, and some a lead-stage job. None of the brokered tools creates an appointment or sends an outbound message.

Connect Google Sheets, Notion or a task tool

About 2 minutes each

Google Sheets, Notion, Asana, ClickUp and Trello are managed from your First AI Employee dashboard. You approve your own provider account, choose the exact destination, and the connection becomes Ready only after we verify that destination. You do not need an n8n account, a workflow import or a webhook.

Press Connect in your dashboard

Open Integrations and choose Google Sheets, Notion, Asana, ClickUp or Trello.

Approve your provider account

Sign in on the software approval screen. Composio securely keeps that connection for us; First AI Employee never receives your password.

Choose the destination

Pick the spreadsheet and sheet, Notion database, Asana project, ClickUp list, or Trello board and list. We verify it with the account you just approved instead of accepting an untested ID.

Wait for Ready

The card says Ready only after provider access and the destination both pass verification. If approval succeeded but no destination is chosen, the card stays unfinished and no call is sent there.

Google Sheets gets one row and Notion gets one page for every completed call. Asana, ClickUp and Trello get one task or card only when the call needs follow-up. Before adding anything, we read our event marker in the chosen destination so a retry does not create a duplicate. We do not import or synchronize the rest of your account.

Or send completed calls to your own automation

About 15 minutes, once

Check your dashboard first and use the route marked recommended when it performs the work you need. Cloudbeds has a direct dashboard connection. JobNimbus appears there as a credential preview, so use its named Zapier recipe when you need automation. For a simpler completed-call handoff, paste either a Catch Hook from your own Zapier account or an active production webhook from your own n8n Cloud account. We send one PII-minimized event to that address and your workflow decides what happens next. This alternative is one way and does not replace the more capable private First AI Employee app in Zapier.

Create the receiving workflow

In Zapier, create a Zap and choose Webhooks by Zapier as the trigger. For n8n Cloud, download the destination-specific starter from the app directory in your dashboard and import it.

Use a permanent receiving address

In Zapier choose plain Catch Hook, not Retrieve Poll or Catch Raw Hook. In n8n activate the workflow and copy its production /webhook/ URL, never the temporary /webhook-test/ address.

Copy that address

Treat the address like a password. Anyone who has it can send data into the workflow.

Paste it into your dashboard

Go to Integrations, find Any other app or CRM, and paste the address into Automation webhook URL. The field accepts Zapier Catch Hooks and n8n Cloud production webhooks. It refuses self-hosted n8n, test URLs, and every unapproved host.

Save it, then send the synthetic test

Press Save webhook, then Send synthetic test. Inspect the event in Zap History or n8n Executions and test every downstream action separately. Saving the URL or receiving the test does not prove that a later write succeeded.

Add your software as the second step

For Zapier, choose a supported destination action and map the event fields. In the n8n starter, authorize the destination app, select the customer-owned resource, then configure and enable the disabled destination node. Keep Event ID as the duplicate marker, test the destination action, then activate the workflow.

What gets sent, and when: one delivery per completed call, carrying the caller details, the summary, and whether an appointment was booked. The Catch Hook route travels one way, and the n8n webhook alternative has the same limit. Changes in downstream software do not come back to us. The First AI Employee app below is the lane that can also write back.

About 10 minutes, once

The second Zapier lane, and the one that can write back. Instead of a Catch Hook you install the First AI Employee app in your Zapier account. It gives you five triggers to start a Zap with, three create actions other apps can call, and two searches for find-or-create workflows. The app is private, so the only way in is the invite link in your dashboard. Searching the Zapier app directory for us will not find it.

Open the invite link in your dashboard

Go to Integrations and press Install in Zapier. That link is the invite; it is how a private app is shared. Sign in to Zapier and accept it.

Connect your First AI Employee account

Zapier asks you to sign in to us once. The connection is labelled with your business name, so an account that runs several businesses can tell them apart.

Choose the event that should start the Zap

New Lead, New Booking, Completed Call, New Contact and New Request each carry a focused record. Choose the narrowest event for the workflow so a contact update does not look like a booking and a completed call does not look like a new request.

Search before you create

Find Contact uses an exact phone number, and Find Booking uses an exact name, date and time. Then use Create Contact, Create Request or Create Booking for the write. Create Request needs a contact ID and a stable source record ID. Create Booking needs a name, a date as YYYY-MM-DD and a time as HH:MM.

Create Contact reuses an exact phone match and never changes consent. Repeating a Create Request with the same source record ID does not create a duplicate. Create Booking reports honestly: it writes to a connected calendar, records the appointment when no calendar is connected, and shows a conflict when somebody already holds that minute.

What this costs you

None of this is billed by us. We do not charge for any connection on this page, and we do not take a cut of anything. But some of these routes can cost you money elsewhere, and it is better to know now.

Managed dashboard connections

We do not charge extra for Google Sheets, Notion, Asana, ClickUp or Trello, and you do not need an n8n or Zapier subscription for them. Your own provider account and its plan still belong to you.

Zapier itself

Your Zapier plan charges or limits tasks according to its current plan. A call can consume more than one task when the Zap has multiple downstream actions, and Filters, multi-step Zaps, or premium apps may require a paid plan. Check the plan shown in Zapier before activating the workflow; nothing is billed by First AI Employee.

Premium apps on Zapier

QuickBooks Online, Xero, Salesforce and Zoho CRM are what Zapier calls premium apps. Connecting any of them needs a paid Zapier plan no matter how few calls you take.

Your own software’s plan

Several vendors put connections behind their own upgrade. If the Jobber path opens, Jobber requires Connect or higher. ServiceTitan needs the Works or Legacy package. The integrations page lists known requirements next to each tool.

Calendar booking, email delivery, your dashboard and every currently available team chat channel cost nothing extra from us.

About 3 minutes each

Open Channels in your dashboard for these connections. Call summaries post into the chat your team already has open. They are free on every plan, and you can connect as many as you like. Full transcripts stay in the dashboard and go to any verified report-email recipient, because a transcript is longer than a chat message will hold.

Press Add to Slack in your dashboard and pick a channel on Slack’s own screen. That is the whole thing.

Microsoft Teams, Discord or Google Chat

These three work the same way: you create an incoming webhook in the app itself, then paste the address it gives you into your dashboard. Teams calls it a Workflow, Discord and Google Chat both call it a webhook.

Telegram

Press Start on our bot and you are linked, with nothing to copy.

Signal is not offered until its linking service is configured. WhatsApp recaps are coming, and are not ready today.

If something does not work

The four things that actually go wrong, in the order we see them.

01

Nothing arrives in your CRM

For a managed dashboard connection, check the card says Ready rather than Provider authorized. If it does not, reconnect the provider and choose the destination again. For Zapier, check the Zap is tested, published and switched on.

Zapier says you are out of tasks

You have passed 100 tasks for the month on the free plan. Calls still get answered and nothing is lost on our side. Your dashboard keeps every record while you sort the plan out, and any verified report-email recipient keeps receiving copies.

03

Your CRM refuses the connection

Nearly always a plan or a permission on their end, not the data. Check you are an admin there. For a Zapier route, also check your plan includes its Zapier connection. For HighLevel, return to Integrations and start its approval screen again.

The AI takes appointments but does not book them

That means no calendar is connected, or the connection lapsed. Reconnect it under Integrations. The AI is built to say the request is recorded rather than claim a booking it could not make, so nothing is lost, but nothing is on the calendar either.

If none of that is it, tell us. We would rather look at it with you than have you work around it.

Want us to just do it?

That is the normal way this goes. We set every one of these up with you during onboarding, on a call, while you watch. This page is for reference, not homework.
